Job Description

Virginia Western Community College is currently accepting applications for a part-time, Academic Link Program Assistant (Administrative and Office Specialist II) to work in the Learning Resources Department in the Academic Link Division. Responsibilities include, but are not limited to the following: Performs various administrative tasks as needed for the smooth running of Academic Link programs, including submitting printing and maintenance requests, making copies, monitoring the departmental email account, and managing and maintaining student appointment and tutoring records, both manually and electronically. Assists in scheduling Learning Resource Desk staff and in orienting and training tutors in policies and procedures and in using the online tutor tracking and scheduling system. Effectively acts as a resource for patrons by providing informational, technological, and other assistance as needed. Interacts cordially and effectively with faculty, classified staff, students, coworkers, and other internal customers. Demonstrates an understanding of the mission of the Academic Link, the Learning Resources division and of the college and how job function impacts the operation as a whole; supports the organization by demonstrating flexibility, adjusting to changing job demands, and creatively handling customer service challenges or problems.

Minimum Qualifications

Excellent customer service skills. Excellent written and oral communication skills and thorough knowledge of correct English grammar, spelling and punctuation. Ability to assist in developing effective methods and materials for providing tutor training. Ability to deliver workshops and other training in a professional manner. Ability to work effectively, both independently and collaboratively, to establish and maintain cooperative working relationships with students, faculty, staff and the general public; to clearly explain tutoring procedures and policies to others; to read, draft, and finalize clear and concise written materials; to perform administrative and clerical work involving sound and independent judgment and attention to detail. Excellent computer skills, including experience using word processing programs, spreadsheets and database software. Strong organizational and decision-making skills. Combination of education, training and/or work experience that demonstrates the ability to perform the core duties of the position. Considerable experience working in a high volume, office environment.

Must be available to work most evenings and Saturday mornings.

Preferred Qualifications

Experience with college-related systems technologies and software that has provided applicant with the administrative skills necessary for the position. Experience providing academic tutoring in higher education. Bachelor’s degree in related field and/or experience providing student academic success education in college-level environment.

Special Requirements

This is a part-time position, limited to working up to 58 hours per two-week pay period. Must be available to work most evenings and Saturday mornings.

Selected applicant will be subject to a background check of driving, credit, and criminal history as a condition of employment.

No traditional benefits are provided; however, the individual is eligible to participate in the College’s Educational and Continuous Learning Policy which provides for educational assistance for up to six credit hours per semester (tuition-free with a grade “C” or better).
