Job Description

Purpose: Piedmont Virginia Community College (PVCC) seeks an energetic and customer service oriented Administrative Assistant in the Admissions and Advising Center to deliver exceptional student services to both new and current students.

Duties and Responsibilities: The Administrative Assistant will report to both the Dean of Student Services and the Director of Advising and Transfer. The successful candidate must demonstrate a proven record of customer service, ability to work effectively in a dynamic and fast-paced environment, and skill in working with a diverse student population. The candidate must also demonstrate strong organizational and technical skills to help remove institutional and technical barriers that threaten student access and student satisfaction. The Administrative Assistant will work as part of a collaborative team in the Admissions and Advising Center to create a positive and welcoming climate that promotes student success.

Specific responsibilities and functions include:
• Provides support to the Dean of Student Services and the Director of Advising and Transfer in carrying out the mission of the Admissions and Advising Center
• Serves as a role model of customer service for all constituents at the College
• Provides efficient service in person, by phone, and by email
• Assists students with the application and enrollment process
• Resolves course registration and override issues for students
• Provides triage and referral services for all students and connects them to the necessary resources on campus
• Schedules appointments for the Dean of Student Services, Director of Advising and Transfer, and all academic advisors/counselors in the Student Services division
• Alerts the Dean of Student Services or Director of Advising and Transfer to potential crisis situations and customer service issues that need to be addressed
• Assists the Dean of Student Services as the first point of contact with the admissions process for international students
• Assists the Dean of Student Services in addressing confidential code of conduct issues and disciplinary proceedings
• Assists the Dean of Student Services in responding to requests for subpoenas and legal proceedings
• Assists with the planning of special programs and workshops in the Student Services division, including student orientation events
• Updates the Admissions and Advising sections of the college website and posts announcements on the Axis TV monitors
• Provides rotating coverage and assistance as needed, which may require some evening availability

Minimum Qualifications

High school diploma or equivalent; Experience in a customer service oriented environment; Ability to multi-task in a fast-paced environment; Commitment to the community college mission; Ability to work with people from diverse backgrounds, interests, and abilities; Ability to work in a dynamic student environment and with a diverse student population; Strong interpersonal and written communication skills; Outstanding leadership and organizational skills; Quick learner, especially with regard to computer systems; A focus on student success.

Preferred Qualifications

Bachelor’s degree in an appropriate field from an accredited institution; Experience in an administrative assistant position or related role; Experience in a higher education environment
