Job Description

Virginia Western Community College is accepting applications for a full-time Grants and Contract Administration Coordinator.

The coordinator is responsible for duties related to the supervision of budgeting, accounting, procurement, and financial record-keeping of state, federal, and private grants and contracts; college-wide contract administration of auxiliary services; and liaison with the VCCS Shared Services Center. Duties include financial reporting, budget planning and setup, funding requests, cash management, procurement review, expenditure monitoring, reconciliations, maintenance of system records, contract monitoring, and vendor relations. Provides coordination to programmatic personnel assigned to a grant/contract to maintain compliance with financial requirements established by the agency or sponsor funding the award. Attends all grant review and programming meetings coordinated through the Grants Management Office on an on-going basis through the life cycle of the grant award.

This position is also responsible for overseeing and monitoring college-wide contracts such as the bookstore, dining, vending, and copier contracts. The coordinator will ensure services and revenues are received as outlined in the contract, serve as the liaison with vendors and Shared Services, review and approve purchase requests for budgetary compliance, and respond to questions from internal and external constituents. This position will present proposals, updates, and final reports to groups through verbal and written reports.

Minimum Qualifications

Bachelor’s degree in business, accounting, or related field, or an equivalent combination of training, education, and experience. Experience in policy interpretation, budgeting, procurement, and financial reporting and accountability. Demonstrated data entry and software application skills in Microsoft Office Suite and accounting systems. Knowledge of Generally Accepted Accounting Principles and Practices (GAAP).

Critical thinking and strong analytical skills are required. Experience researching, investigating, analyzing, reconciling, and evaluating large quantities of data. Must possess excellent written and oral communication skills and the ability to work calmly under pressure and use good judgment at all times.

Preferred Qualifications

Experience in grant accounting management. Experience working in a college setting or governmental agency. Experience with PeopleSoft or Banner software application programs.
