Job Description

The Virginia Department of Education, Office of Teacher Licensure, is seeking a qualified and experienced individual to provide technical assistance to school personnel, institutions of higher education, Department of Education staff and the general public on all aspects of teacher education and licensure. The individual will provide administrative support including processing mail that includes applications, application fees and supporting documents using the automated licensure system software. Duties include answering large volumes of incoming calls on a multi-line phone, providing information, transferring calls and taking messages as necessary; greeting and directing visitors and providing information, transferring calls and taking messages as necessary; greeting and directing visitors and providing assistance to them as needed; opening, sorting and processing large volumes of mail, preparing licenses for mailing, processing return mail items, running and collating licenses for specialist, assisting in the indexing and reviewing of imaged documents for legibility, fulfilling all duties required to process an application and performing other duties and responsibilities as assigned.

Minimum Qualifications

Ability to answer and manage large volumes of calls each day on a multi-line phone

Ability to provide accurate technical assistance to individuals over the phone and in person

Knowledge of English grammar and usage and demonstrate the ability and skill to effectively communicate, both written and orally, to a wide variety of audiences

Skill in conveying information, specifically regulatory processes

Ability and knowledge to professionally greet customers and ascertain the needs of the customer to refer to the proper staff member

Skill in customer service

Ability to multi-task in a busy office environment

Ability to process large volumes of mail and assign work to appropriate staff

Knowledge and skills in general office tasks

Ability to organize and prepare large mailings

Ability to accurately review imaged documents for records management

Possess skills in Microsoft Word, and demonstrate the ability to keyboard proficiently

Ability to work independently with minimal supervision

Ability to verify accuracy of work products

Ability to work harmoniously with colleagues

High school graduate or an equivalent combination of education and training required

This position requires the individual to work daily until 5:00 p.m.

Preferred Qualifications

Higher education courses preferred

Experience in an administrative support position preferred

Successful candidate must pass a criminal background check.
