Job Description

Administrative Assistant to the Vice president for Workforce Development, position provides primary administrative support for the Office of the Vice President overseeing budgets of about $5 million and supporting three workforce divisions serving some 10,000 individuals annually with training or workforce services. The incumbent serves as primary point of contact for the Vice President arranging meetings with the external business community, government officials, service agencies and the general public, as well as with the President and Cabinet and the internal college constituency. The incumbent oversees the coordination of information and the compilation of financial and enrollment data from three workforce divisions for official reports required by the general Assembly, federal, state, local agencies, funding organizations, and regional economic and workforce boards. The individual is also responsible for coordinating the content, data collection, and submission of college applications for the certification of workforce programs for funding by the Fast-Forward Workforce Credentials Grant, the Workforce Innovation and Opportunity Act, the Veterans Administration-GI Bill, and SNAP ET. The position maintains all official records, reports, data reports, and communications of the Office of the Vice President in both electronic and paper form. The position requires daily interaction with the Vice President in coordinating activities, communications and calendar. The incumbent is responsible for the quality of all written and published materials and assists the Marketing Coordinator in gathering and producing content for marketing, public information, and conference presentations as well as serving as the Workforce Web Site Manager, updating and editing content from the three divisions. The assistant to the vice president, monitors and tracks expenditures, initiates vice president travel and purchasing in the information management system, and oversees compiling a single consolidated budget report from all revenue and expense accounts for review and weekly by the Workforce Development Council. The position produces correspondence and generates minutes of the meetings of the Corporate Advisory Board, and the Workforce Development Council. This position requires a high level of professionalism in personal presence as well as diplomacy and accuracy in all oral and written communications. The position is paramount to the successful operation and functions of Workforce Development and its three divisions.

Minimum Qualifications

An Associate’s degree in Administrative Support Services, Business Administration and Office Procedures or equivalent training and experience; moderate level of administrative assistant experience at the executive level, and extensive work experience in business interactive and/or higher education environment. Experience in coordination of operational activities, initiating financial transactions and budget monitoring in financial management systems, and experience developing, filing and maintaining official financial and enrollment reports is required. A high professional level of personal presentation, written and oral communication, and interpersonal skills is required. It also requires an understanding and commitment to the community college philosophy, demonstrated excellence in the delivery of customer service, and experience in compliance with institutional policies and procedures. In addition, qualified applicants must be able to work at all campus locations. Criminal history and other background checks will be required of the finalist candidate for this position. Preferred Qualifications

A Bachelor degree in Business Administration or a related field is preferred as is moderate administrative experience at the executive level in the field of Workforce Development. Other preferred competencies include: demonstrated work experience in writing, marketing, public relations, creative communications, material design, and production; and training. Notary certification is desirable and may be obtained within six months of employment.
