Job Description

The Jamestown-Yorktown Foundation is seeking a qualified individual for part-time hours to serve as receptionist for Jamestown-Yorktown Foundation main telephone lines and administrative offices in the education wing. Control access to administrative offices via remote entry system. Provide clerical support for the Marketing and Retail Operations department and other administrative offices. Handle all fulfillment requests. Prepare monthly reports for the Marketing and Retail Operations and Finance departments.
Principle Job Functions: Answer the main phone lines for the Jamestown-Yorktown Foundation (JYF). Serve as receptionist for the administrative offices in the education wing admitting guests using a remote entry system. Control access to gift shop warehouse, log entries and escort staff as needed. Ship letters and packages via United Parcel Service for JYF. Prepare quarterly postage use and cost code report for Finance. Schedule 2nd floor conference rooms and pool vehicles assigned to education wing. Maintain and update recordings on the public telephone line voice mail system. Sort USPS mail for all Jamestown Settlement administrative offices. Provide clerical support for the Marketing and Retail Operations department (MROD) staff and back up for the Administrative Assistant. Assist with annual MROD mailings. Mail/ship brochures to AAA offices, tour companies, brochure distribution companies and individuals. Process fulfillment mailings, including label preparation within 48 hours of receipt. Prepare monthly unit report and regular reports for MROD including ad response (JS/ARM-Y/AHT), bulk mail and invitation responses, as needed. Track promotional/discount offers from area attractions, especially Colonial Williamsburg and Busch Gardens, report to MROD Senior Director monthly. Monitor content on historyisfun.org, visitwilliamsburg.com, gowilliamsburg.com [and other websites as requested] on a bi-weekly basis; report needed changes to Media Relations unit. Prepare and circulate reception desk break schedule as needed. Process donation requests. Maintain Marketing Secretary manual and update as needed. When workload allows, assist other departments within the 2nd floor education wing offices on an as needed basis. Adhere to Customer First Program requirements. Notify supervisor immediately of any safety issues or concerns. Adhere to Foundation’s Code of Ethics and Confidentiality Statement. Complete required Cyber Security, small purchase card and other Training Academy courses as requested. Attend State of the Foundation.

Minimum Qualifications

Minimum qualifications include: Employee must be able to interact cooperatively, effectively and professionally with all levels of staff and general public. Have strong oral/written communication and computer skills (MS Office), knowledge of Jamestown Settlement and the American Revolution Museum at Yorktown and general knowledge of the Historic Triangle area. Have knowledge of basic office equipment. Must have High School diploma or equivalent.

SPECIAL REQUIREMENTSPLEASE NOTE: All full-time and part-time paid staff of the Jamestown-Yorktown Foundation is required to complete and sign an Application for Employment. All volunteers of the Jamestown-Yorktown Foundation are required to complete an Application for Volunteerism. These documents require an employee or volunteer to certify that they have never been convicted for any type of violation. This is above and beyond VA Code §22.1-296.1-C which states “that (i) he has not been convicted of a felony or any offense involving the sexual molestation or physical or sexual abuse or rape of a child; and (ii) whether he has been convicted of a crime of moral turpitude.” In addition, the Foundation completes both name and sex registry background checks through Virginia State Police on all paid and core volunteer staff and the Contractor will (i) maintain all employee certifications on file, (ii) require an employee to update the employee’s certification if the employee later is convicted of any reportable offense, and (iii) will make these certifications available for inspection upon request.” Foundation staff must also be eligible to work using the E-Verify system through U.S. Department of Homeland Security.
